Important Tips for Planning an Out-of-Town Office Event or Seminar

Whether this is your first time planning an out-of-town event for your colleagues and teammates or just one of the many successful corporate gatherings you have already had, forming a concrete plan makes the process a whole lot easier. So, if you have been assigned to lead the planning of your big seminar or teambuilding trip, check out this list that we have come up with to know the best way to take on this task.

Before anything else, determine the purpose.

One of the key essential tips in planning an out-of-town event is to know the purpose of the trip. With that in mind, it will be easier for you to break down everything you will need from start to finish. Is it mainly for the team to get to know each other better? To survey a certain area? Or plainly to give the employees a change of scenery? The answer to these questions will help you determine the best concept and format for the big day.

Make a budget scheme.

For this one, balance is the key. So, after figuring out the main purpose of your event, it is time to do the math. Calculate everything you will possibly need – from the transportation to the accommodation and food of all attendees. Make sure to prepare a clear breakdown of expenses so it will be easier for you to present your proposed budget to the human resources team or your manager.

Pick an appropriate date and location.

After you’ve settled the two most important details, it is now time to choose the date and location. Come up with a list of possible schedules, and weigh the pros and cons of each. If you plan on holding your event at a tropical destination or beachfront hotel in Boracay, best to choose a week during the summer season.

Zero in on the perfect venue.

There are a lot of venues and function rooms that are readily available for all kinds of events. But if you are on the lookout for one that has complete amenities and is conveniently located near the beach and restaurants, no need to look further than our hotel in Boracay, Station 3! Here at Astoria Current, we have a 734.10-square meter function room that is fully equipped with all the necessities, including an LED wall. Be it a simple meeting or a full brainstorming session, we can accommodate a team of up to 140 participants.
